1. Position Details
- Title: Administrative and Logistics Assistant
- Contract type: Fixed-term contract (2 months)
- Contract Period: from 1 July to 31 August
* The contract period may be extended by several months, subject to performance and operational needs. In such cases, notification regarding the contract renewal will be provided at least three weeks in advance.
2. Working Conditions
- Working days: Sunday to Thursday (5 days per week)
- Working hours: 08:00 to 15:45
- Lunch break: 13:00 to 13:45
- Overtime work may be required as instructed by the supervisor
3. Key ResponsibilitiesThe successful candidate will be responsible for the following:
(1)Administrative Coordination and Logistical Support
- Handle administrative procedures required for the installation of Japanese experts, volunteers and staff (residence permits, bank accounts, utility services contracts, driver’s licenses, vehicle registration, insurance, etc.)
- Provide logistical support to accept missions from Japan (hotels, vehicles, telephone, etc.)
- Perform general secretarial and logistical duties
(2)Customs and Procurement Management
- Manage customs clearance procedures for the JICA office and its projects
- Handle duty exemption procedures and VAT refund documentation
- Support procurement of office equipment and supplies
(3)Asset and Facility Management
- Manage official vehicles (insurance, annual inspection)
- Manage office equipment and systems (IT, Internet)
- Oversee utilities and services (electricity, water, telephone, Internet, etc.)
(4)Other Duties
- Manage coordination with hotels, travel agencies, and airlines
- Perform any other duties assigned by the JICA Chief Representative as required
4. Required Qualifications
- Professional experience in administration, logistics, or operations (preferred)
- Good knowledge of local administrative procedures is an asset (not mandatory)
- Proficiency in standard IT tools (Word, Excel, Teams, Internet)
- Working proficiency in English and French
- Strong organizational skills, reliability, and multitasking ability
- High level of integrity and strict adherence to confidentiality
5. Terms and Conditions
- The selected candidate must comply with internal rules, demonstrate professional integrity, and maintain strict confidentiality of all information.
- Any serious misconduct may result in immediate termination of the contract in accordance with Djiboutian labor law.
